Hey guys, occasionally I will throw a quick poll out there to generate interaction on what you guys are doing in your ministry. My question today is, “how often should you meet with your adult volunteers?” Please share this vote so that we can get many people participating in the poll.

  1. Wendesday night prayer room 6:30pm, we briefly go over anything for that night then pray. Children and Youth ministries start at 6:45. We do have children/youth leader training with a meal at 5:30 the first Wednesday night of each month.

    1. Jr, thanks for the input! That is a great system. You see, we have the Grove starting at 6 pm and ending at 8 pm, and I cannot ask my leaders to be there each week much earlier considering some are coming from work. Wish we could, but want to be careful not to overwhelm them.

  2. -I try to informally touch base with our volunteers weekly via phone/email; and in person at least once a month.
    -We meet formally over supper at the church and before youth group on the first Wednesday of each month, August through May, to discuss the details of what’s coming up in the month and review who is responsible for what for each meeting/activity (45 minutes max).
    -We meet 3 times a year for a little longer range planning & evaluation purposes: at the beginning of the school year, beginning of 2nd semester and beginning of the summer (these take the place of the monthly supper in August, January & May).

  3. From what I can tell, this one is largely dependent on how many leaders you’re corralling. When we were just a group of five or six, we could meet pretty consistently (though never on a weekly basis). But now that we’ve grown, we’re having to re-evaluate how often we can realistically and fairly expect people to come together in a large group.

    So we’re thinking quarterly, but within specific areas of focus (small groups, teen leadership, administration), I think it’s still beneficial to meet more often.

    P.S. I miss Greensboro (went to UNCG) and I envy the fact that you can actually get NC Pulled Pork sandwiches. Just saying’.

    1. Eddy, thanks for the input and for the local shout out! Yeah, you make a great point. Much of the meeting depends on how many leaders that you do have. I have about 20 leaders total in our student ministry, and it is tough to find a time that works for all of them. We are in the process of re-evaluating the meeting as well, and that is the main motive for this quick poll.

  4. we see each other weekly, and have brief discussions. but, i like to meet once a month, to tackle calendar stuff, any issues that need to be dealt with, etc. seems to work, and doesn’t exhaust my volunteers.

    1. Frankie, thanks for the input bro! I hate that we never connected in Asheboro when I was a youth pastor there. Love to connect one of these days with you and hear what God is doing in your ministry! Thanks for the input and for the help bro.

  5. We have a big volunteer base, so each person on staff has a group of adult volunteers in which we are responsable to meet up with. Each group is about 15 different adults, and our times are filled with catching up and making sure that their groups are doing ok and making sure they dont need anything else from us on the HSM staff to make their time with their student amazing. So with all that, it averages about 1 month with all the coffee and lunches. I like it and it seems to be working great for me and my group.

    1. Wow, that sounds like a workable system. How many staff members do you have, and are you speaking of student ministry staff members, or staff members of the church in any particular ministry? Regardless, that is still a great idea, and I like it. I might have to use that model, and it keeps your staff accountable on how they are personally doing when it comes to discipling individuals and duplicating themselves!

      1. Well, in our case there are 10 people on staff for high school and we have around 95 small group leaders. So each staff member has 10-15 people (of the same gender) that they are responsible for. So our high school staff is solely resposible for taking care of and checking in on and mentoring our leaders. We use highrise.com to make sure every leader is caught up on and connected with. This site is awesome on keeping up on who we have contacted last and who still has not been connected with in a while. I would check that out for sure.

    1. We have been doing a training retreat each fall as well Doug. That is a great idea. This year, we are doing something different. We are doing a day seminar instead of overnight just because everyone seems to be so busy.
